Role Overview
The Executive Assistant / Personal Assistant to the Director will provide high-level administrative, operational, and confidential support to ensure the smooth functioning of the Director’s office. The role requires excellent coordination, discretion, and the ability to manage multiple priorities efficiently.

Key Responsibilities
1. Executive & Administrative Support
• Manage the Director’s calendar, appointments, meetings, and travel schedules
• Coordinate internal/external meetings, conferences, and events
• Prepare agendas, minutes of meetings, and track action items
• Handle emails, calls, correspondence, and official communication
• Draft letters, notes, reports, and presentations
2. Communication & Stakeholder Coordination
• Act as a primary point of contact between the Director and internal/external stakeholders
• Screen calls and prioritize communications based on urgency
• Ensure smooth information flow across departments
3. Operations, Finance & Compliance Support
• Follow up on GST payments and ensure timely compliance for all companies
• Coordinate with Operations for monthly sales and purchase data
• Compile and share monthly reports and bank statements with auditors
• Prepare and generate rental and sales invoices with Director’s approval
• Ensure EMI balance maintenance and timely payment of Director’s Amex credit card
4. Document, Data & Information Management
• Maintain confidential files, records, databases, and contact lists
• Compile and analyze data to support decision-making
• Review documents for accuracy and completeness before submission
5. Project & Operational Coordination
• Assist in planning and tracking special projects
• Monitor deadlines, deliverables, and pending tasks
• Support day-to-day office operations for efficient workflow
6. Confidential & Strategic Support
• Handle sensitive information with utmost confidentiality and integrity
• Support the Director with research, analysis, and decision support

Requirements
- 3–5 years of strong experience as an Executive Assistant / Administrative Officer / PA to senior management.
- Excellent organizational, communication, and coordination skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and handling confidential information with professionalism.

- 1. Calendar and Schedule Management.
- • Efficiently manage the Director's calendar and schedule appointments/meetings.
- • Provide timely meeting reminders and follow-ups.
- 2. Communication and Correspondence.
- • Handle incoming/outgoing emails, calls, and correspondence professionally.
- • Screen calls and prioritize messages based on urgency.
- • Draft responses and maintain communication records.
- 3. Meeting Coordination.
- • Prepare meeting agendas, materials, and briefing documents.
- • Take accurate meeting minutes and track action items.

- 10. GST Payment Follow-Up.
- • Regularly follow up on GST payments for all companies.
- • Ensure timely and accurate payments to avoid penalties.
- 11. Coordination with Fayaz and Report Submission.
- • Coordinate with Fayaz for sales and purchase data.
- • Compile and send monthly sales and purchase reports to the auditor for GST filing.
- 12. Bank Statement Sharing.
- • Collect and share bank statements of each company with the auditor on a month-on-month basis.
- 13. Rental Invoice Generation.
- • Generate rental invoice from Petro Vistech to RK Foodlands on the 1st of every month.
- 14. Sales Invoice Preparation.
- • Prepare sales invoices from Petro Vistech after confirming and obtaining approval from the Director.
- Ensure all sales transactions are accurately documented, promptly invoiced, and submitted to the auditor for filing.
- 15. EMI Balance Maintenance.
- • Ensure a balance of Rs. 12,78,266/- is maintained in the relevant account by the 4th of every month (EMI due on the 5th).
- 16. Director’s Amex Credit Card Payment.
- • Ensure the Director’s Amex credit card payment is processed on the 15th of every month.
- • KPI: Payment processed on time every month; zero late charges.
